# CtrlTeams: Microsoft Teams governance and compliance

Teams is where projects start and files get shared, but it was not built to keep the record. CtrlTeams sets up each new team from a template and keeps its documents in M‑Files.

Microsoft Teams is where most organisations now start a project, make decisions and share files. As usage grows, so do three problems: teams are created without control, documents scatter across teams, channels and chats, and when a team is deleted its content goes with it. IT is left with remediation work and the organisation with gaps in its record.

[CtrlTeams](/products/ctrlteams/ "CtrlTeams") puts M‑Files behind Teams. It creates each new team to the same pattern, sets up its folders and template documents, and copies the team’s documents into M‑Files as records, filed with their details.

## Why Teams needs a system of record[#](#why-teams-needs-a-system-of-record)

Teams was designed for conversation and everyday teamwork. Without something behind it that keeps the record, organisations run into:

- data sprawl across teams, channels and chats
- compliance gaps against GDPR, SEC, MiFID II and similar rules
- lost knowledge when teams or channels are deleted or archived
- manual work to keep documents in order

CtrlTeams sets the structure when a team is created and keeps it in place from then on. People carry on working in Teams, while M‑Files keeps the record the organisation relies on later.

## From new team to filed record[#](#from-new-team-to-filed-record)

### New teams from a template[#](#new-teams-from-a-template)

Teams and channels are created from predefined templates and governance rules. Permissions are controlled through M‑Files, so uncontrolled team creation stops and every new workspace starts with a consistent name, channel structure and folder layout.

### The same folders in every team[#](#the-same-folders-in-every-team)

Each project or department gets the same folder hierarchy. Key documents, such as SOPs or project files, are placed in the right team or channel from the start, so people find them where they expect to.

### Documents filed in M‑Files[#](#documents-filed-in-m-files)

Files saved in Teams are copied to M‑Files and filed automatically with details such as project and customer, so the record keeps up while people carry on working in Teams.

## Set it up once[#](#set-it-up-once)

Administrators set up the templates, the filing rules and what is synchronised once. After that, every new project gets its team, folders and permissions from CtrlTeams, synchronisation runs in the background, and someone steps in only when a standard changes, such as a new folder structure or a revised compliance template.

## What you get[#](#what-you-get)

- **Automated archiving.** Documents in the team’s folders, including files posted in channel conversations, are synchronised to M‑Files without anyone doing it by hand.
- **Storage that fits the regulator.** On-premise, private cloud or hybrid.
- **Metadata-driven retrieval.** Documents are classified and found by project, customer, author, date or topic.
- **Knowledge retention.** Content stays available after a team is archived or deleted.
- **Audit trail.** A complete record of document access and changes.

## Who it is for[#](#who-it-is-for)

It is built for IT and compliance teams who need control over Teams data without extra manual work, and for project-based organisations that want the record kept and findable after delivery. Regulated industries such as finance, legal and pharma, where retention is a requirement, get the most from it.

If your Teams environment is growing faster than your ability to control it, CtrlTeams gives you a structured way forward. [Book a demo](https://ctrldocs.com/contact/?product_interest=CtrlTMS) and we will show you a team created from a template, with its documents synchronising to M‑Files.
