M‑Files as your CRM system
Customers, opportunities and the documents behind them already live in the vault. Here is what M‑Files gives you as a CRM, and what CtrlPortals adds on top.

In this article
A CRM is the central place for customer interactions, data and relationships. Strip the category label away and the job is familiar: report on what is happening across the company, hold customer-related information in one repository, make the customer easier to understand, and keep sales and leads moving.
That is information management, and if you already run M‑Files you have most of the machinery. A customer, a contact, an opportunity and the signed contract are objects in the same vault, classified with the same metadata as everything else. What is usually missing is a screen that presents them the way a salesperson wants to see them.
What M‑Files already gives you#
- Metadata-driven structure. Documents and other content are classified with managed metadata that connects them, so the same information is reachable through several views: by month, workflow state, customer, contact or opportunity.
- Permissions that follow the data. Access to a document or an object is set automatically from its properties, rather than maintained folder by folder.
- Workflows. From identifying an opportunity to closing the deal, approvals run as workflow states, with digital signatures where a signature is required.
- A record of what happened. Every record keeps its version history and a time-stamped audit trail, so you can always see who changed what, and when.
- Notifications. Reminders for contract renewals, proposal deadlines and customer touchpoints.
- Integrations. M‑Files connects to other systems, and a CRM configuration is open to change where your sales process differs from the standard one.
CtrlPortals as the interface#
CtrlPortals is a configurable user interface on top of the vault: dashboards in the main area and portals in the right-hand pane, both assembled from components that read M‑Files data directly. For a CRM that means the customer record, its open opportunities, the team around it and the numbers end up on one screen.
There is no separate CRM product to buy: the sales screen is CtrlPortals, set up in M‑Files Admin to the layout you choose. It is meant for the people who deal with customers every day: sales representatives, customer service agents, project managers and business owners.
The state of the business on one screen#
A CRM dashboard built with CtrlPortals puts the figures a sales manager asks about, such as pipeline value, deals closed and new leads, in tiles and charts on one screen. You choose which tiles and charts it carries and how they are laid out, so the people who decide see the figures that matter to them. The data comes straight from the vault, so the dashboard and the vault always agree.
Sharing and access#
Because a customer’s documents are found by their metadata, nobody has to go looking for them. CtrlPortals also gives the team one place to work on a customer, with the same record and the same comment thread for everyone, while the permissions already set in the vault decide who sees what.

Leads and opportunities#
Lead management and opportunity tracking are the day-to-day part. A lead moves through workflow states, an opportunity carries its value and probability, and both stay attached to the customer they belong to, with the proposal and the contract as documents on the same record.

Worth trying if you already have M‑Files#
If the vault is already where your documents live, the customer side of the business can run there too rather than in a system of its own. Every customer interaction is recorded against the object it belongs to, and the overview is whatever you configure it to be.
